ATHLETIC IQ GROUP LTD operates the Athletic IQ coaching platform. This notice explains what personal data we hold, why we hold it, and the choices you have. Your club is responsible for the coaching decisions it records about you; we are responsible for running the platform securely on its behalf.

Who is responsible for your data

ATHLETIC IQ GROUP LTD is the data controller for platform accounts, billing and security records. Each club is the data controller for the athlete, guardian and coaching records it creates inside its own workspace, and we act as its processor for that content. Where a club has published its own addendum, you will find it on that club's portal page.

What we collect

  • Account details: name, email address, role and club membership.
  • Athlete records created by your club: date of birth, squad, training programmes, attendance, assessments and coach feedback.
  • Guardian records: relationship to the athlete, contact details, emergency contacts and pickup permissions.
  • Sensitive information you choose to provide, such as medical or dietary details, and safeguarding records where a concern is raised.
  • Payment records: what was purchased and whether it was paid. Card details are handled by Stripe and never reach our servers.
  • Technical records: sign-in events, device and browser information, and security logs.

Why we use it

  • To deliver coaching, scheduling and communication for your club (contract).
  • To keep children safe, including logged coach-to-minor messaging and safeguarding reviews (legal obligation and substantial public interest).
  • To take payments and keep financial records (contract and legal obligation).
  • To secure the platform and investigate misuse (legitimate interests).
  • To send optional updates or use non-essential cookies (consent).

Children and young people

Where an athlete is under 18, a verified guardian holds the account permissions that matter: consents, medical information, emergency contacts and permission for photography or video. Leaderboards visible to minors are effort-based, nutrition guidance is growth-framed, and coach-to-minor messaging is recorded so it can be reviewed by a safeguarding lead. These protections cannot be switched off by a club.

Who we share with

Your club's coaching and administrative staff, within the limits of their role. Our service providers: Supabase (hosting and database, EU/UK), Stripe (payments), and our email delivery provider. We do not sell personal data and we do not use athlete data for advertising.

How long we keep it

Coaching records are kept while you are associated with the club and then archived in line with the club's retention policy. Safeguarding and financial records are retained for the longer periods required by law and by sport governing-body guidance. Some records, including safeguarding reports and audit trails, are append-only and cannot be deleted.

Your rights

You can request a copy of your data, ask for corrections, object to certain processing, withdraw consent, or ask for erasure where no legal obligation requires us to keep the record. Guardians can exercise these rights on behalf of their children. Athletes and guardians can download a data package from their own account, or contact office@athleticiqgroup.com. You may also complain to the UK Information Commissioner's Office.
